Guardhouse guide

The Teras guard app runs on the guardhouse phone or tablet. It does four things: Scan, Verify, Search, and Register.

Signing in

Enter your phone number (without the leading zero — the +60 is already there) and your password. Your community admin created the account and set the password; ask them if you don't have it.

You stay signed in between shifts. Only sign out if the device is leaving the guardhouse.

Scan — a visitor with a QR code

The main green button. Point the camera at the visitor's code.

• Green, "Verification successful" — let them in. The screen shows the visitor's name, which house they're going to, and their plate number. Check the plate matches the car in front of you.
• Red, "Code is invalid or already expired" — do not turn them away. Register them manually instead (below).
• "This code isn't from this community" — a valid Teras code, but for a different community. Register them manually.

If the camera doesn't start, check the camera picker below the viewfinder and choose the back camera. If it says permission was denied, close the app completely and reopen it.

Verify — a visitor who can read out a code

Same as Scan, but they read the short code and you type it. Use this when the camera won't work, the visitor's screen is cracked, or they only have the code written down. The result is identical to a scan.

Search — "I was here last week"

Search by plate number. Returns visitors seen before, most recent first. Tap one and it opens the register form with their details already filled in, so you only need to confirm.

Register — a walk-in with no code

Every visitor without a working code goes through here. Nobody gets turned away for not having a pass.

Fill in:

• Name
• IC / passport number
• Plate number
• Purpose — Courier, Food Delivery, Pickup, Dropoff, Maintenance, Family/Friends visit, or Other
• Address — which house they're visiting

All five are required; the Next button stays greyed out until they're filled. Then confirm the details and save.

When the network is down

A red banner appears at the top when the device is offline. Scanning and verification need the network — they can't check a code without it.

Fall back to your paper log for the visitors that arrive while it's down, and enter them once the connection is back. Don't guess: if you can't verify a code, treat the visitor as a walk-in and take their details.

Rules of thumb

• A bad code is never a reason to refuse entry. Register them manually and let the resident sort it out.
• Always check the plate against the vehicle actually in front of you. The name is easy to fake; the plate is what the resident registered.
• The destination house is on the screen after a successful scan. If the visitor names a different house than the screen shows, treat it as a walk-in and register them properly.
• Services is greyed out on purpose. It isn't ready yet.
