What works where
WhatsApp covers most of what a resident does day to day, but not everything. This is the honest split.
Residents
| What you want | App | |
|---|---|---|
| Sign in | ✅ | ✅ |
| Get an entry pass for yourself | ✅ | ❌ WhatsApp only |
| Pre-register a guest | ✅ | ✅ |
| Create an invitation link | ✅ | ✅ |
| See who visited, and when | ✅ | ✅ |
| See guests you're expecting | ✅ | ✅ |
| Check outstanding invoices | ✅ | ✅ |
| Pay an invoice | ✅ | ✅ |
| See your own details on file | ✅ | ✅ |
| Share or copy a pass link | ✅ | ✅ |
| Approve or reject an invitation guest | ✅ | ✅ |
| Revoke a pass or deactivate an invitation | ❌ | ✅ |
| Add, edit, or remove household members | ❌ | ✅ |
| Add, edit, or remove vehicles | ❌ | ✅ |
| Edit your own name or email | ❌ | ✅ |
| Switch between communities | ❌ | ✅ |
Two things worth pulling out of that table:
The entry pass for yourself only exists on WhatsApp. There's no button for it in the app. If you need to get through the gate and don't have your card, message the bot.
Anything that changes or cancels something already created is app-only. You can create a pass over WhatsApp but not revoke it; create an invitation but not approve its guests or shut it down. If a guest turns up who shouldn't, you need the app.
Community admins
Everything is app-only. Houses, residents, guard accounts, billing, settings, and the site-wide visitor and vehicle logs have no WhatsApp equivalent.
The assistant answers residents about their own household. It won't answer an admin question, even if you're an admin — asking it about another house gets you your own details.
Guards
Everything is in the guard app. Scanning, verifying, searching, and registering walk-ins have no WhatsApp equivalent, and guards don't sign in over WhatsApp at all — they use a phone number and password.
Rules of thumb
- Quick question or one action → WhatsApp. Checking a bill, asking who came yesterday, getting a pass at the gate.
- Reading a long list, or changing something → app. WhatsApp lists stop at five entries, and nothing that edits or cancels is available there.
- Running the community → app. Every admin function.
/loginis always the way back. If the assistant isn't understanding you, that one command still sends a sign-in link.
