Your first session
This is the short version: do these five things, in this order, and your community is live. Budget about an hour for a community of fifty houses.
Everything lives under Admin on your home screen.
1. Set up the community — 5 minutes
Admin → Settings. Set the email residents should contact you on. It's the address the app shows them when they hit a limit or need help, so use one you actually read.
Your community's WhatsApp number shows here too. Teras manages it — you don't set it.
Leave the Billplz fields for now unless you already have the keys. You only need them when you're ready to bill (step 5).
2. Add your houses — the longest step
Admin → Houses → New house. Each house is a house number and a street.
Do all of them now, before adding people. Everything else — residents, invoices, visitor records — hangs off a house, so this is the foundation.
Be consistent with how you write things. If you write "Jalan Mawar 1" for one house and "Jln Mawar 1" for another, they'll read as two different streets forever.
3. Add residents to each house
Admin → Houses → pick a house → Add member. Name, phone number, and whether they're an owner or a tenant.
Two things matter here:
- Get the phone number right. It is how they sign in. A wrong number means that resident simply cannot get into the app, and it won't be obvious why.
- Set a main contact for every house. This is the person who receives the bills. A house with no main contact is silently skipped when you issue invoices — they won't be billed, and you won't be told at the time unless you're watching for it.
You don't have to add every resident yourself. Add the owner, set them as main contact, and they can add the rest of their household under Tenants. For a large community that's a lot less work for you.
4. Create the guard accounts
Admin → Guards → New guard. Name, phone number, and a password you choose.
The password is shown in plain text as you type it, deliberately — you're going to read it out to the guardhouse. Give the guards the guardhouse guide and print a copy for the post.
5. Invite your residents
Now that houses and residents exist, tell people the app is live. There are ready-to-send WhatsApp messages on Invite your residents — copy, fill in the blanks, send.
6. Bill them — when you're ready
Billing needs Billplz credentials, so it's a separate errand. See Billing.
Before you announce it
Worth ten minutes:
- Sign in as yourself and create a test pass. Have a guard scan it. Confirm the whole loop works before fifty people try it at once.
- Check Admin → Houses for any house with no members or no main contact.
- Confirm each guard can actually sign in on the guardhouse device.
